The list is set for your type of building on day one, and each item shows the rule behind it. You can switch items on or off, or add your own.

A spreadsheet stores dates. Credolex watches them. A spreadsheet only works if someone remembers to open it, and that stops working the week they are on vacation. Credolex checks every date every night and sends the reminders itself.

No. Bring in the staff list you already have and everyone is added at once. For cards, take a photo or upload a PDF and Credolex reads the dates for you to check. You can also send each employee a link so they send their own card in from their phone. Nothing goes on a file until you accept it.

A document attached to a health item is never sent to be read. The Add screen sends whatever you drop on it, so keep health papers off it.

• The employee. If their file has a work email, they hear about their own card at 30, 15 and 7 days before it runs out, on the day, and once after. You can add earlier emails at 90 and 60 days in Settings. If they agreed to texts, they can get a text too.
• You. One summary email a day for the whole building.

So the person who has to renew the card is the person who finds out, without a coordinator having to chase them.

Credolex texts the open shift to the people cleared to work it. That means the same position, every card current, and agreed to texts. Each person says yes or no from a link. The shift goes to whoever has picked up the fewest extra hours in 30 days, and you get one text when it is covered.

Callout Cover can also text a notice to every staff member who has agreed to texts, with a link to read it, and shows you who has read it. Callout Cover is an add-on to any plan.

No. Nobody gets a text until they have agreed to it in writing, either on paper or from their own link. Non-urgent texts are not sent between 9pm and 8am in the employer's time zone. Anyone can reply STOP to stop the texts at any time.

Not as a verification service. Credolex keeps your dates and reminds you before they run out. It does not decide who may work, and it is not legal advice.

It does run two public checks for you. Every month it checks every active person against the federal exclusion list and shows you any name that matches. For Washington licenses, it also checks the state’s public list every week. A match is a reason to look closer, not a final answer, and anything your policy calls primary source verification is still yours to do.

Yes. Each facility’s records are walled off from every other facility, and that wall is enforced on every single look at the data, not just on the screens. We test it by trying to break it: logged out, signed in as a different facility, and signed in as Credolex staff. None of those can see your people.

Everything is encrypted while it travels between your screen and Credolex, and while it is stored. Text messages are the exception: phone carriers do not encrypt them, so a text never names a health item.

HIPAA usually does not apply here. HIPAA covers patient health records. Credolex holds employee records only, which HIPAA treats differently, and never holds anything about your residents or patients.

Yes, any time. Download your whole roster and every date as a spreadsheet from Setup. No need to ask us.

To close your account, an owner emails support@credolex.com. We delete your facility and everything in it within 30 days and tell you when it is done.

Usually one afternoon. Bring in your staff list, then add the dates you already have. There is nothing to install and no IT project. If you can use a spreadsheet, you can use Credolex.
